Ford Motor Company Limited of Eagle Way, Brentwood, Essex, CM13 3BW, England, UK ("Ford") and Chariot Transit UK Limited of Eagle Way, Brentwood, Essex, CM13 3BW, England, UK ("Chariot UK") (together "we" or "our") collect personal data through the telematics in the Chariot transit ("Vehicle"). This Privacy Policy explains why we collect the data and what we do with it.

What we are doing

We are undertaking a programme which involves (i) the provision of fleet management services by Ford to Chariot UK (the "Services"), and (ii) the collection of information about the ways in which light commercial vehicles are driven, in order to analyse aspects of driving behaviour and vehicle usage and their effect on the surrounding environment and further existing knowledge of this subject matter (the "Programme").

Information from the vehicle you drive

The Vehicle you drive will be fitted with a plug-in device ("PID") and GPS vehicle tracking technology, which collects various types of information regarding the state of the Vehicle and how it is driven. This may include information about the Vehicle’s location, driving route, mileage, vehicle speed and acceleration, braking conditions, steering angle, engine parameters, diagnostic codes and associated vehicle status, seat belt usage information, and details of any accidents or substantially similar information. The collected information may also include the unique vehicle registration mark ("VRM") and vehicle identification number ("VIN") of the Vehicle.

The Vehicle may also be fitted with additional vehicle and/or environmental sensors or you may be provided with a device and/or mobile application to collect further information and test product features. We will inform you about the equipment/sensors fitted to your Vehicle and, if necessary, obtain your consent to the use of the information collected from them.

Information you provide

We may ask you to provide your contact details so that we can communicate with you about the Programme.

We also collect any information you share with us during any interviews or workshops, in particular regarding your driving experiences and information related to your use of the vehicle.

Why we collect this information

Chariot UK use the information we collect through the Vehicle to:

  • effectively manage the fleet
  • identify and manage vehicle health problems

Together, we use the information we collect through the Vehicles to analyse aspects of driving behaviour and vehicle usage and their effect on the surrounding environment in order to further existing knowledge of this subject matter. In particular, our analysis aims to:

  • Explore patterns and predictions which can be made about driving behaviour
  • Explore whether drivers’ engagement with their driving influences the effectiveness of feedback provided to drivers
  • Develop concepts for new driver experiences
  • Improve parking utilisation, efficiency, and compliance
  • Understand traffic patterns, congestion, and environmental impact
  • Provide incident detection and analysis services
  • Improve vehicle maintenance
  • Develop new and improved products, services, and marketing strategies and research
  • Research
  • The collected information may also be used, in anonymised form, in the publication of research papers.

Interviews and workshop sessions

As part of the Programme, we may record interview and workshop sessions because this allows us to spend less time writing notes during the sessions and more time focusing on the discussion with you. It also allows your contributions to be shared with members of the Programme team who are not present at the interview or workshop.

Who we share this information with

The PID information we collect will be shared with and visible through a real-time online dashboard to individuals who have a legitimate business purpose to log in and view the data at:

  • Chariot UK
  • Ford
  • Chariot US who will receive the PID information as a Data Controller for fleet management purposes
  • Ford Smart Mobility LLC (FSM LLC) will receive the PID information as a Data Controller for their own research purposes outlined above

We may also share personal information obtained through the Vehicles with:

Ford affiliates ('our affiliates' means the group of companies related to us by common control or ownership) including FSM LLC in order to provide the Services
any new owner if we sell some or all of our business external service providers (such as technical support providers and academic institutions) who are subject to agreements that oblige them to only use the personal information as we instruct and to keep it securely.

Your information may also be shared with selected academic institutions to use to further academic knowledge of this subject matter. These academic institutions will retain a record of the information provided to them and may use the information in the Programme and other academic studies for the research purposes described above.

We may also share personal information in order to comply with a legal requirement or requests from public authorities; to protect or defend our or another's rights or property; to protect individuals' personal safety; or to detect, prevent, or otherwise address fraud, security, safety, or privacy issues.

International transfer of your data

Your data is stored on servers operated by us and our service providers. These servers may be located outside the European Economic Area. Where your personal information is transferred to these countries, we will ensure that your personal information is adequately protected.
